Job Summary:

The Administrative Assistant is responsible to the Housing and Money Management Director and President/CEO, for providing a wide variety of advanced clerical, secretarial, receptionist, and reporting support for client's financial program and clients.


  • Associates Degree and/or a minimum of 2 years office administration experience
  • Proficiency in Microsoft Office
  • Skills, knowledge and interpersonal abilities including, but not limited to: typing, telephone and computer skills
  • Great communication skills and listening skills with the senior population
  • Ability to be committed to clients, agency, and community
  • Good problem solving abilities
  • Organized
  • Ability to work independently, but also team oriented


  • Answers SFC telephone line as primary phone contact, taking messages, completing client intake, scheduling client appointments at main and satellite offices and answer general program questions.Update counselor schedules as needed.

  • Maintains awareness of referral resources available for SFC clients who need additional assistance. Develops relationships with businesses and other service providers and maintains current contact information.

  • Assists with the training of new SFC staff members and volunteers as requested. Provide support, advice and other assistance to SFC staff as needed.

  • Maintains client statistics, making sure records of client sessions are up-to-date on spreadsheets. Files SFC client folders in appropriate cabinets as needed.

  • Maintains and updates files and commonly used software documents for SFC clients and staff. Maintains SFC Master Client List.Processes purged files for storage.

  • Prepares SFC Monthly Statistical Reports within 5 working days after the close of each month and other program reports as requested. Prepares SFC deposits weekly.

  • Send out Client Survey Forms and track results as part of the PQI process.

  • Responsible for program staff meeting minutes and updating program forms, brochures, and policy manual.

  • Prepares reports and handouts for presentations.

  • Maintains Phone Client Log and submits for end of month reports.

  • Upload and Record MPP closings

  • Act as a backup to schedule and update SHFPP portal clients as well as maintain system to ensure clients are scheduled within the required timeframe
